Job Description

The Client Operations Associate partners closely with the Advisors to support clients in both divisions of the firm, Retirement Advisors (institutional clients) and Capital Management (individuals/families), to deliver and maintain our service models. The COA serves as the primary day-to-day point of contact for clients and is instrumental in delivering solutions as well as ensuring that the activities around clients’ deliverables, such as review meetings and materials, are completed. The position requires strong project management skills, high follow-through, passion for relationship building and service, attention to detail and excellent communication skills. The COA will be responsible for delivering overall positive experience for our clients, as well as provide support to certain internal operations initiatives as needed.

Responsibilities

 

  • Ensure new client onboarding is done smoothly and accurately; preparing, processing, tracking and maintaining client portals, monitoring progress of establishing new accounts.
  • Serve as a main point of contact for clients and follow up on tasks and requests; work closely to custodian or provider to resolve any issues.
  • Schedule client meetings; plan/investment and portfolio review or employee education meetings and ensuring activity is being tracked accurately in the CRM.
  • Assist in preparing meeting materials by gathering or updating client performance reports, investment portfolio reviews and other analysis.
  • Act as a project manager to ensure recommendations and action items from the meetings are implemented, involving the advisor, plan provider or custodian as needed.
  • Maintain client and prospect data on CRM systems (Salesforce and Redtail) and appropriate client portals (Schwab and Black Diamond Wealth).
  • Partner with and support the COO periodically by:
    • Gathering data/materials for compliance and GIPS program.
    • Assisting in email campaigns and other marketing initiatives such as client appreciation events.
    • Carrying out various ad-hoc projects that enhances the client experience.
  • Your responsibilities may change over time to meet the demands of the firm. As you develop your expertise, you may begin to offer strategic analysis, consultation and education to clients regarding their retirement programs (401(k), 403(B), non-qualified and defined benefit plans), or individual investment portfolios.

 

Qualifications

  • 3-5+ years’ experience in a client service operation (or Jr. sales) environment, preferably at an investment advisory or other financial services firm.
  • Must be self-motivated (takes initiatives), resourceful, responsive, team focused, accountable and committed to providing exceptional service.
  • Detail and process-oriented thinker with strong analytical skills.
  • Ability to understand client needs and communicate effectively with executive staff, finance and HR professionals, and affluent individuals.
  • Ability to work in a small-firm environment and act in the best interest of the firm and clients; strong interpersonal skills.
  • Bachelor’s degree required.
  • Direct experience with retirement plan administration, investments, wealth management or other financial services; operational knowledge of common banking transactions and terminology is strongly preferred.
  • Experience with these systems is a plus: Redtail, Salesforce, Envestnet, Schwab, Black Diamond.
  • Sense of humor is a plus.
